Texting
The Texting feature in HRGP allows you to send and receive SMS messages directly from the platform, making it easy to communicate with candidates, employees, and contacts without leaving the system.
Texting is commonly used during the hiring process to confirm interviews, follow up with applicants, and provide updates.
Texting can be accessed directly from the main navigation menu in HRGP. You can also send text messages directly from the Applicant Dashboard.
Twilio Requirement
HRGP uses Twilio to power SMS messaging. Before sending text messages, you must:
- 1. Create a Twilio account
- 2. Connect your Twilio credentials to HRGP
- 3. Purchase a phone number
Once your Twilio account is connected and a number is available, texting features will become active.
HRGP allows you to send messages to multiple recipients at once.
Bulk texting is useful when you need to send the same message to a group of candidates, such as:
- • Interview invitations
- • Job updates
- • Follow-up messages
- • Hiring announcements
Text templates allow you to create pre-written messages that can be reused.
Templates are helpful for frequently sent messages such as:
- • Interview confirmations
- • Interview reminders
- • Follow-up messages
- • Application updates
Using templates helps ensure messages are consistent and professional.
HRGP allows you to schedule text messages to be sent at a later time.
This is useful when:
- • Sending reminders before interviews
- • Scheduling messages during business hours
- • Planning follow-up communication
Scheduled messages can be sent to one or multiple recipients.
When a Job Posting has more than one Job Communicator or Job Owner, HRGP creates a shared messaging conversation for texting with the applicant.
In this shared conversation:
- • The applicant and any team member can send and reply to text messages directly
- • Other team members associated with the position can see the conversation inside HRGP
- • Participants may also receive email notifications when new messages are sent
All messages remain organized in the same conversation thread so the hiring team can easily review the full communication history.
When a candidate or contact replies to a text message, HRGP can send an email notification to the participants in that conversation.
This helps ensure that users are aware of incoming replies even if they are not currently logged into HRGP.
- Keep messages short and clear.
- Use texting for quick communication, not long explanations.
- Use templates for frequently sent messages.
- Use bulk texting carefully to ensure messages are relevant to recipients.
- Schedule messages to ensure they are sent at appropriate times.
- Maintain professional communication with all candidates.
